Sanitarium Regains Staff Capacity and Eliminates Creative Debt with -lution and Aprimo DAM

Technology accelerates an operating model, it does not create one. Sustainable enterprise transformation occurs when governance, people, process, information architecture and technology are designed as a single connected operating system.

The Challenge

For consumer goods powerhouse Sanitarium, managing content across iconic Australian brands like Weet-Bix, UP&GO, So Good, Marmite, and Vegie Delights, had become an increasingly complex operational hurdle. With a portfolio spanning more than 100 product variants, every single SKU demanded a massive volume of governed assets across channels, from packaging artwork and digital commerce collateral to sales enablement tools and retail activation materials.

Over time, this rapid proliferation led to severe content fragmentation. More than 11,000 digital assets were scattered across disparate cloud platforms, internal servers, and local storage environments. The lack of unified metadata, standardised file-naming conventions, and centralised governance created high duplication levels and version control risks. Over 80 active users across marketing, nutrition, legal, innovation, and international teams spent significant time manually searching for, recreating, or validating assets.

This operational drag created a state where marketing budget and staff hours were consumed by administrative asset management rather than driving high-impact brand growth. To scale platform adoption to 200+ users and expand brand portfolios without linear cost increases, Sanitarium needed to evolve from fragmented execution to an integrated, high-velocity content supply chain.

The Solution

Sanitarium engaged -lution as its independent Enterprise Content Operations and Creative Operations advisor to lead an operational transformation, alongside technical implementation partner, DLUX and software provider, Aprimo. -lution approached the challenge not merely as a system rollout, but as a comprehensive redesign of Sanitarium’s business operating model.

  • Asset Consolidation & Migration Strategy: -lution audited the 11,000+ asset ecosystem, consolidating and cleansing legacy files, standardising naming conventions, and establishing migration rules to ensure only validated, high-value assets entered the new ecosystem.

  • Information Architecture & Metadata Design: -lution developed a Metadata Application Profile (MAP) supported by a faceted taxonomy aligned with actual product attributes. This turned metadata into an operational driver for seamless discoverability.

  • Upfront Solution Design: By fully defining taxonomy structures, permission models, and lifecycle governance prior to technical build, -lution provided DLUX with configuration-ready requirements, eliminating decision bottlenecks and accelerating implementation timelines.

  • Cross-Functional Operating Model: -lution designed end-to-end workflows and governance checkpoints spanning marketing, nutrition, innovation, and legal teams, transforming the DAM into a central hub for connected MarTech integrations (CMS, PIM, and CRM) and future AI-driven metadata automation.

The Results

We respect our client’s commercial sensitivities so don’t publicly share our results. We can share that we’ve saved Sanitarium a significant amount of time and money, and improved their in-house capability. If you’d like to know more, contact us.
